ASME programs, MALYOMAR programs and instructors are kept separate everywhere. Only courses marked ASME in the catalog carry the ASME name on certificates.

Fields marked “to be confirmed” are missing from the current website and the Tutor LMS export. They are listed in the migration plan.

To confirm before go-live. Prices in the Tutor LMS export are bare numbers with no currency. The prototype assumes Egyptian pounds. Two prices (600 and 28,571) look like a different currency and are flagged in Import & migration.

Batch confirmation

Open batches
Minimum seats to confirm a batch

Default for public batches. A course or batch can override it; Finance sets the break-even seat count per batch.

seats
Go, merge or cancel decision deadline

The deadline of a batch is its start date minus this number of days. “Overdue” is always measured against the reporting date. Every screen that shows a decision date reads this one rule.

days before start
Mark a batch “at risk”

When fill is below the minimum this close to the start. The command center and the AI layer both read this flag.

days before start
Private corporate batches

Confirmed when the purchase order or signed proposal is recorded, whatever the seat count.

On
Waitlist

When a batch is full, new buyers join the waitlist. A seat offer is held before it moves to the next person.

hours held
Overbooking

Extra seats sold above capacity for virtual batches, to cover late cancellations.

CEU and PDH rules

Open the ledger
CEU calculation

1.0 CEU for every 10 contact hours, following the IACET standard. A 30-hour course earns 3.0 CEU.

hours per CEU
PDH calculation

1 PDH for each contact hour. Shown on the certificate next to CEUs when the learner asks for it.

hour per PDH
Minimum attendance to earn credit

For virtual and in-person batches, taken from attendance. Below this the certificate is held for review.

%
Minimum assessment score

Where the course has a final assessment. Two attempts are allowed.

%
ASME authorized programs

CEUs are issued by ASME under its IACET accreditation. The system records them in the ledger but does not calculate or print them on a MALYOMAR certificate.

Keep separate
Breaks and self-study

Breaks, pre-reading and homework do not count as contact hours.

Excluded

Reporting date

Every “as of”, “due”, “days left” and “overdue” in the prototype is measured against one reporting date. No screen keeps its own “today”.

In a live system this is the current date, or the date a user selects for a report. In the prototype it is fixed so that every screen agrees.

What these rules drive

  • Batch status: open, at risk, confirmed, cancelled. Batches
  • Refund amounts are worked out from the cancellation date. Refunds
  • Credits are calculated when a batch is closed. CEU / PDH ledger
  • Anything outside a rule becomes an approval. Inbox
  • Learners are told when a batch is confirmed or cancelled. Notification rules
Effect of the minimum. Over the last 12 months of sample data, a minimum of 8 would have cancelled 3 batches; a minimum of 6 would have cancelled 1 and run 2 at a loss of about EGP 38,000 in total. Open the report
